POSITION: Administrative Officer

Summary: The officer welcomes each visitor in a friendly and courteous manner. The officer answers phone calls and email messages, greets visitors and performs tasks related to employability programs and other CDEM sectors.

Position: 37.5 – 8:30 a.m. to 5:00 p.m.

60% reception duties

40% administrative duties

Immediate supervisor: HR and employability services manager

Responsibilities – Reception

  • Ensure that all visitors go through reception;
  • Greet people who come to the CDEM offices, determine the reason for their visit, direct them to the appropriate individual or department, provide general information in person, over the phone or by email, and perform office duties, when necessary;
  • Ensure the reception area is safe, clean and very welcoming;
  • Keep a visitor log (name, phone number, email address and the reason for their visit);
  • Register people for training workshops, as well as employment events and programs;
  • Make and approve reservations with regard to conference rooms; send billing information to the Finance department;
  • Ensure the conference rooms and the kitchen are clean and tidy;
  • Open and close the offices (including unlocking the elevator upon arrival in the morning and locking it when leaving at the end of the day);
  • Create and update the replacement schedule for the reception desk;
  • Perform any other tasks as directed by your supervisor and/or the leadership team.

Client Support

  • Provide visitors/clients with basic information about CDEM programs, services and activities;
  • Perform online job searches for employability clients and show them the available job offers;
  • Proofread resumes for employability clients;
  • Ensure details regarding all CDEM events are distributed/posted; 
  • Update business directories;
  • Help organize special CDEM events (e.g., Job fairs, golf tournament, Fosse aux lions, and much more);
  • At the supervisor’s request, help other administrative staff when there is an increase in workload, by doing word processing, data entry and research;
  • Perform administrative tasks for staff according to the supervisor’s needs and instructions.
